Affiliation 2024/25

Get ready for Affiliation.

 Derbyshire FA have released our latest advice to ensure you are ready for when the Affiliation window opens early June 2024-2025.

 

There are some new requirements which are important for our clubs to start preparing for now so you can be ready for the upcoming season.  

 

Affiliation will again be available via Club Portal instead of through the Whole Game System.

All Clubs

Key Officials – Clubs are required to state their key officials. You can find guidance on how to add your key officials here.

Club Ground – It is a requirement for clubs to state their main home ground. You can do this ahead of affiliation through the ‘My Club’ tab. You can find guidance on how to complete this here.

Public Liability Insurance – All clubs are required to have Public Liability Insurance covering the club for the upcoming year. This must be a minimum of £10million pounds. Derbyshire FA will offer this through the Club Portal, or clubs can source their own that meet the FA minimum guidelines.  Click here for more information.

Safeguarding Declaration – Every club will be required to accept a Safeguarding Declaration. Where clubs have teams that play across different levels of the game, multiple declarations will need to be accepted (available once Affiliation opens).

 

Clubs With Adult Teams Only

Personal Accident Insurance – All teams are required to have Personal Accident Insurance and this will be available through Club Portal linked with Marsh Sport Insurance (Bluefin) or teams can source their own that meet the FA minimum guidelines. Click here for more information.

Named Manager or Coach – Every named team official apart from the Team Secretary will need to have completed the Player Welfare Course as a requirement. To complete the course, please click here. If your team has U18s players, all named Managers, Coaches, Assistants and First Aiders will also be required to hold an in-date, accepted FA DBS (contact your Club Welfare Officer for more information)

 

England Accredited ClubsIn addition, at least one team official must hold the Introduction to First Aid in Football qualification here, and all other team officials must have completed the FA Concussion Guidelines and Sudden Cardiac Arrest course qualifications here. 

Non-England Accredited Clubs – In addition, all team officials must have completed the FA Concussion Guidelines and Sudden Cardiac Arrest course qualifications.

  • Welfare Officer (Adult) - Clubs with adult teams require a named ‘Welfare Officer (Adult Teams)’. For the 2024/2025, it is mandatory to make sure this position has completed the Player Welfare Open Age Football Course. To complete the course, please click here. In addition, the Welfare Officer (Adult) will also require a DBS in the event of an U18 being registered. Please contact the Derbyshire FA support centre here and request information directly.
  • Team Ground – It is a requirement for teams to state their main home ground. You can do this ahead of affiliation through the ‘My Club’ tab. You can find guidance on how to complete this here.

 

Clubs With Youth Teams

Personal Accident Insurance – All teams are required to have Personal Accident Insurance, including U5 and U6 teams. This will be available through Club Portal linked with Marsh Sport Insurance (Bluefin) or teams can source their own that mean the FA minimum guidelines.  Click here for more information.

Named Manager or Coach – Every youth team must have a minimum of two-name officials (Managers, Coaches, Assistants) assigned to each team. This can be completed ahead of affiliation through the ‘Officials’ tab. All Managers, Coaches and Assistants assigned to a team require an in-date, accepted FA DBS and must have completed the Safeguarding Children Course. At least one official per team must hold the Introduction to First Aid in Football here and all other officials per team Concussion Guidelines and Sudden Cardiac Arrest qualifications here

How should we get ready as an existing club? 

Before starting the affiliation process, all clubs should:

  • Please check the expiry date of your team officials Safeguarding for Children qualification and renew if they are about to expire. Click here to access the free Safeguarding  Recertification course. Any new official will require to Safeguarding Course here
  • Ensure all outstanding invoices from this season are paid. You will NOT be able to complete your affiliation without these being paid. 
  • Ensure all player suspensions from last season have been assigned fixtures (unless the suspension is carrying over to next season). If you need any help, please click here or contact Discipline@derbyshirefa.com 
  • Once you have finished your season, we strongly encourage all clubs to access their Club Portal and detach any players / officials that are no longer part of your club. Any questions or support please contact Discipline@derbyshirefa.com who will be able to assist. 
  •  Familiarise with using the Club Portal to process your club admin (apart from processing discipline).

 

What support will be available for existing and new clubs once Affiliation opens?
